This Privacy Policy explains how HireGlint ("we", "us") collects, uses, and protects information when you use our hiring platform and websites (the "Service").

By using the Service you agree to the collection and use of information in line with this policy.

When you apply through an application link, we collect the personal information (PII) you provide directly: your first and last name, email address, phone number, resume/CV, cover letter, and your answers to any application questions.

We also collect basic usage and device data (log data, IP address, browser type) to operate and secure the Service.

For employers and organisations we additionally collect account and company data (name, email, organisation, role) and billing data (handled by our payment provider; we do not store full card numbers).

To review and process your application and share it with the hiring organisation you applied to.

To contact you about interviews — see “Contacting you about interviews” below.

To provide, maintain, secure and improve the Service, including assessments, interviews and reporting.

To comply with legal obligations and prevent fraud or abuse.

We use your email address and phone number specifically to notify you about, and to schedule, your interviews.

Contact may be made by a member of the hiring team or by an automated AI voice assistant that can call you to arrange or confirm an interview time. Any call may be recorded for scheduling and quality purposes where permitted by law.

These communications are limited to the recruitment process for the role(s) you applied to. We do not use your contact details for unrelated marketing.

We will never sell your personal information.

We will not use your information for any purpose unrelated to the hiring process you engaged with, and we will not share it beyond the hiring organisation and the trusted sub-processors needed to deliver the Service.

We process your information only on a lawful basis and, where required, on the basis of the consent you provide when you apply.

For candidate and assessment data, our customers (the hiring organisations) are the data controllers and HireGlint acts as a data processor, processing data only on their documented instructions.

We share data with trusted sub-processors (e.g. hosting, telephony/voice, payment, video and AI providers) strictly to deliver the Service, under appropriate contractual safeguards. We do not sell personal data.

We retain data for as long as needed to provide the Service and meet legal obligations. Recording and transcript retention periods may be configured per plan; on account closure data is deleted or anonymised within a reasonable period.

We use technical and organisational measures — encryption in transit, access controls and monitoring — to protect your data. No method of transmission or storage is 100% secure.

Depending on your jurisdiction, you may have rights to access, correct, delete or export your personal data, and to withdraw consent at any time.

To request deletion of your data, use the “Request deletion of your information” link at the bottom of this page. Candidates may also contact the relevant employer (controller); for our own records, contact us using the details below.

When you apply, we ask you to confirm that you have read and agree to this Privacy Policy and our Terms & Conditions before your application is submitted. We record that consent, including which version of these policies was in force at the time.

We may update this policy from time to time. Material changes will be notified through the Service or by email.
